1. Who controls your information
Reel Records is responsible for personal data it processes to operate reelrecords.co.uk, user accounts, fishing logbooks, the Venue directory, booking records, security and platform communications.
For a specific Venue booking, the Venue Owner also receives and independently uses booking information to provide its fishing service. For its own customer records, communications, legal obligations and Venue operations, that Venue Owner may act as an independent data controller. You should read the Venue’s own privacy information where provided.
2. Information we collect
Depending on the features you use, Reel Records may process:
- account information such as name, email address, account type and login/security records;
- fishing logbook information such as catches, species, weights, bait, rigs, methods, dates, times, sessions, notes and photos;
- private fishing-spot and GPS information you choose to save;
- public catch information you deliberately choose to share;
- Venue Owner listing information, public contact information, Venue photographs, lakes/waters, pegs/swims, rules, prices and availability;
- booking information including Venue, lake/water, peg/swim, dates, party size, contact details, booking notes, status and accepted Venue terms;
- payment metadata such as provider, payment status, transaction/reference identifiers, connected-account identifiers and refund status. Reel Records does not intentionally store full card numbers or PayPal passwords;
- support, security, server log, IP address, browser/device and diagnostic information;
- preferences and essential browser storage used to keep you signed in or remember requested settings.
3. Where the information comes from
Most information comes directly from you. Booking information may also come from a Venue Owner or payment provider. Weather information may be obtained from weather services based on a location you provide. Mapping information and map tiles may come from mapping providers.
4. Why we use personal data
We use personal data to create and secure accounts; provide the fishing logbook; save catches, sessions and private spots; display content you choose to make public; operate Venue listings; manage availability and bookings; process and confirm payment status; send booking/service communications; prevent fraud and abuse; provide support; maintain legal and accounting records; and improve the reliability and usability of Reel Records.
5. Lawful bases
Depending on the activity, Reel Records relies on one or more lawful bases under UK data-protection law:
- Contract — where processing is needed to provide an account, booking or feature you request.
- Legitimate interests — for proportionate security, fraud prevention, service administration, diagnostics and improving the service, balanced against your rights.
- Legal obligation — where records or disclosures are required by law.
- Consent — where we specifically ask for consent, such as an optional public-sharing choice or a non-essential storage/marketing activity that requires consent.
6. Public and private fishing information
Catch information is not made public merely because you record it. Public catch sharing is optional. Where public sharing is supported, Reel Records is designed to omit exact private GPS coordinates and exact private swim/spot data from the public catch view.
You should still check the public preview before sharing and avoid placing sensitive location details in free-text fields or photographs if you do not want them disclosed.
7. Booking information shared with Venue Owners
When you book a Venue, Reel Records shares the booking information reasonably needed by that Venue Owner to provide the service, such as your contact details, booking dates, party size, peg/swim and notes. The Venue Owner may need to keep some of that information for its own legal, accounting, safety or dispute purposes.
8. Service providers and recipients
Reel Records may use service providers for hosting, email delivery, payments, mapping, weather data, security and technical infrastructure. Current integrations may include Stripe, PayPal, Brevo or other email infrastructure, Open-Meteo, OpenStreetMap/Leaflet resources, web hosting/CDN services and browser-delivered resources such as fonts.
We disclose only information reasonably necessary for the service being used, subject to provider contracts, legal requirements and technical design.
9. Payment information
Payment credentials are entered into the payment provider’s checkout, not a Reel Records card form designed to store the full card number. Reel Records receives payment status and identifiers needed to match the payment or refund to a booking.
Venue Owners connect their own Stripe and/or PayPal account and those providers handle their own identity verification, payout and account data.
10. International data transfers
Some service providers may process data outside the United Kingdom. Where UK data-protection law requires safeguards for an international transfer, Reel Records will use an appropriate legal mechanism or rely on a recognised adequacy arrangement where available.
11. How long we keep information
We keep personal data only for as long as reasonably necessary for the purpose for which it was collected, including account operation, booking evidence, fraud prevention, dispute handling, legal obligations and security.
Fishing-logbook records may be kept for the life of your account because the purpose of the service is to preserve your fishing history. Booking records and accepted-term snapshots may be retained for a reasonable period after the booking to support disputes, accounting and legal claims. Security logs are normally kept for a shorter operational period unless needed to investigate an incident.
Deletion requests may be subject to information we must retain for legal, fraud, accounting or dispute reasons.
12. Your data-protection rights
Depending on the circumstances, UK data-protection law may give you rights to request access to your personal data, correction, deletion, restriction, portability, objection to certain processing and withdrawal of consent where processing is based on consent.
You also have the right to complain to the UK Information Commissioner’s Office (ICO). We encourage you to contact Reel Records first so we can try to resolve the issue.
13. Security
Reel Records uses technical and organisational measures intended to protect account and booking data, including authenticated access controls and limiting public exposure of private GPS information. No internet service can guarantee absolute security, so users should use a unique password and protect access to their device and email account.
14. Children
Reel Records is not designed to bypass any age restrictions that apply to payment accounts, Venue access or legal capacity. Venue Owners are responsible for publishing child/supervision rules that apply at their Venue. If Reel Records learns that personal data has been collected unlawfully from a child, appropriate steps will be taken.
15. Marketing
Reel Records will not treat a fishing booking as automatic consent to unrelated electronic marketing. Where marketing consent is required, it will be requested separately. Venue Owners are also prohibited by their terms from using Angler booking data for unrelated marketing without a lawful basis.
17. Changes to this Privacy Policy
We may update this Privacy Policy when services, providers or law change. Material updates may be brought to registered users’ attention and the version/date at the top will be updated.
18. Contact and complaints
Privacy questions or requests should be sent through the contact method published by Reel Records on reelrecords.co.uk. Where a request concerns information independently held by a Venue Owner, you may also need to contact that Venue Owner directly.
You may also complain to the Information Commissioner’s Office if you believe your data-protection rights have been infringed.
